Partner venues: one card, two gyms

Two venues can now agree that a punch card or membership sold by one will be accepted at both doors — without a shared customer database and without money moving through the system.

Let's say we have a sports centre with a skate hall on the ground floor and a climbing hall upstairs, and both want to offer a shared punch card (or membership) that works across their venues. Each hall runs its own GymKeeper instance, with its own customer database and its own cards — and neither has to give any of that up. The Partner Venues feature connects two separate systems together for exactly this purpose.

What does the customer see?

Nothing new to learn. The climbing hall customer buys their 10-visit punch card upstairs, just as before. When they head downstairs to skate, they show the QR code in their member app at the skate hall's terminal — exactly as they would at their home venue. The skate hall's system instantly checks with the climbing hall whether the card is valid, the climbing hall deducts one visit, and the door opens. Nothing is deducted from a monthly card or membership; the visit is simply logged.

If the QR code can't be scanned, the app displays a code that can be read out at the desk — it works once and changes every minute, so a copied code won't open any doors.

What do the venues see?

Each venue keeps its own records: every visit leaves a row in both systems. At the end of the month, each venue opens the same report — how many times skaters visited the climbing hall and vice versa — and downloads it as a CSV. The "Reconcile with partners" button automatically compares the lists and highlights any rows that appear on only one side.

How the venues settle the money between themselves — whether they invoice each other, net it off, or do nothing at all — is a matter for their own agreement. GymKeeper tracks the events, not the pricing.

Privacy is built in

The customer's details never leave their home venue. The visiting venue sees only the display name (for example, Jarmo A.) and which cards are valid — not the email address, phone number, or any other personal information.

Venues decide what is shared

Each card type is individually flagged for partner use, and memberships are shared on a per-partner basis. An individual card can also be allowed or blocked at partner venues regardless of its card type — one trusted customer gets through, or one card is excluded without affecting any others. A daily visit cap prevents misuse, and a partner's access key can be revoked with a single button at any time. Credit-value cards are not currently accepted at partner venues, as spending money at another venue would already be a pricing question.

Getting set up

Both venues do the same thing: enter your own credentials and your partner's details on the Settings → Partner Venues page, exchange API keys (one in each direction), test the connection, and mark the card types to be shared. After that, all that's needed between the two floors is customers.
